What is IU-Notify?

IU uses a variety of methods to provide emergency and safety information, including sirens, public address, Web pages, building stewards, residence hall assistants, broadcast and electronic media, and a consolidated communications system. Collectively, these capabilities are called "IU-Notify." The IU-Notify project was designed to consolidate IU’s communications systems, and it greatly enhances the university’s ability to effectively transmit critical incident information.

When will IU-Notify be used?

IU-Notify will be used to alert students, faculty, and staff at all IU campuses in the event of an emergency on any IU campus. This system gives IU a new level of safety and security on all campuses by enabling the university emergency preparedness team to quickly pass emergency information to a targeted audience. The more people who register, the more effective the system.

Who will receive messages from IU-Notify?

All students, faculty, and staff at IU campuses across the state will receive alerts from IU. In addition, certain affiliates, long-term guests, and local emergency responders will also be notified.

Am I already signed up for IU-Notify?

By default, information for all students, faculty, and staff is loaded from the HR and SIS systems into the notification system. This includes name, IU-issued e-mail address, and other information provided by individuals to the university at enrollment or hiring, but it does not include cell phone numbers, number to receive text messages, secondary phone numbers, or secondary e-mail addresses. As a result, you are strongly encouraged to visit IU-Notify at https://OneStart.iu.edu/my2-prd/portal/104181 page in OneStart to review, verify, update and add your contact information to ensure your information is correct in the system.

Why should I sign up for IU-Notify?

In the event of an emergency affecting Indiana University, the safety and well-being of all students, faculty, and staff are of paramount importance. Indiana University wants you to be ready for anything. In the event of a disaster or emergency, you will need to know what to do and what actions the university is taking in the following types of situations:

  • Explosion
  • Severe Weather
  • Fire
  • Shooter
  • Terrorist Attack
  • Biohazard

During critical situations, IU faculty, staff, and students will receive information and instructions directly through IU-Notify, an integrated e-mail, voice mail and text messaging system. In order to receive these messages, your information must be up to date in OneStart. To ensure that you receive the emergency messages, it is paramount to include multiple ways IU can contact you. SMS text numbers are the fastest way to receive emergency notifications, but we also encourage you to provide a cell phone number and non-IU e-mail address and secondary or private office numbers to increase the ability of IU-Notify to reach you quickly during a critical incident.

How do I sign up for IU-Notify?

By default, information for all students, faculty and staff is loaded into the notification system. This includes name, IU issued e-mail address, and other information provided by individuals to the university at enrollment or hiring.

  • Click the appropriate links to make any changes or additions you wish.

Additionally, you can log into OneStart and review and update your contact information from the Student Self-Service screen and the Employee Self-Service screen, because these numbers—except for the secondary phone fields—are part of the HR/SIS university official record. Any changes to or deletion of these numbers will affect the Global Address List, if it applies, and the information on your SIS/HR record.

How do I change my contact information for IU-Notify?

To review and update your personal Indiana University contact information for notification in the event of an emergency:

Can I unsubscribe (opt out, remove myself) completely from IU-Notify?

No, you cannot completely unsubscribe from IU-Notify messages. However, you can choose how you will receive these messages. All IU students, faculty, and staff are automatically signed up to receive these messages through their IU e-mail accounts. If you wish to include additional e-mail accounts, cell phone numbers, home phone numbers or SMS contact information, then you are welcome to add and remove this data as you wish.

It is necessary for IU to have a means of alerting everyone on all relevant campuses in the event of an emergency situation. IU's highest priority is the safety of its students, faculty and staff, and we will only send an emergency e-mail during critical incidents and mandatory tests.

Can the general public or parents sign up to receive IU-Notify messages?

No, the general public cannot sign up for IU-Notify.

How many methods of contacts should I list?

The key to successful communication during emergency situations is the accuracy and variety of contact information in the system. As such, Indiana University is working hard to encourage everyone to verify, update, and add his or her contact information in the IU-Notify system.

In an emergency, Indiana University will send notifications to you at the following phone numbers and e-mail addresses currently on file for you:

  • Local or home
  • Local or home secondary
  • Cellular
  • Cellular secondary
  • IU office
  • IU office secondary
  • Text message
  • IU e-mail
  • Non-IU e-mail

Faculty and Staff Note: The “IU office” number is published in the Global Address List and in the IU Address Book (http://people.iu.edu/). If you have a private office number that you do not wish to make public, enter that in the “IU office secondary” field. This will allow you to receive emergency notifications via your office number, and to list a central departmental or other line publicly.

What should I do if I signed up and did not receive a text message, e-mail or phone call when a test was conducted?

Report the particular situation to prepare@iu.edu and we will investigate your phone numbers and what was reported for your numbers. In addition, you should ensure you have put your cell phone number in the text phone field, otherwise, you will not get the text message.

Why does IU send test e-mails, phone calls, and text messages?

IU's emergency notification system will be used to announce and provide guidance in an emergency or critical incident and to communicate relevant updates. IU or campus administration will activate the system based on the circumstances of a particular situation. Since Indiana University has more than 90,000 students, faculty, and staff on its eight campuses, a system that sends out messages to everyone via several different media is necessary to ensure that everyone who needs to know about an emergency is informed as quickly as possible.

In order to be prepared for an emergency situation, IU will test the IU-Notify system at least once per year. This ensures that we can resolve any issues that could occur when sending an emergency notification using contact information supplied to the university for this specific purpose by faculty, staff and students.

The tests are in line with the requirements outlined in an amendment to the Clery Act, which President George W. Bush signed on Aug. 15, 2008. One requirement of the higher education act is that all emergency response and evacuation procedures be tested on an annual basis. Learn more about the Clery Act.

When is the next test planned?

There are no tests planned at this time, but IU-Notify will be tested at least once a year per federal law.

Can I sign up for text messages if I do not have a text messaging plan with my cell phone service provider?

Yes, you can sign up to receive text messages even if you do not have a text messaging plan on your cell phone. However, you should check with your cell phone carrier to find out if text messages will indeed make it to your phone and if there are any fees associated with delivery of text messages.

Will the text messages that Indiana University sends cost me money?

It depends on the policies of your agreement with your cell phone carrier. You should check with your cell phone carrier to understand what fees, if any, apply.

Why did I receive an IU-Notify message about a campus that I am not on?

Your contact information is pulled from the information contained in your student record (for students) and your HR record (for faculty and staff). As a result, you will have a record for each campus appearing in your official HR or student record. For instance, if you are a full-time student at IU Southeast and a distance student at IU Bloomington, you will have a record for both campuses and you will receive alerts for both campuses.

How can I guarantee that the IU-Notify e-mails get past spam filters?

IU-Notify alerts have been set up to bypass IU-managed spam filters, but may be caught by spam filters offered by other e-mail providers. To ensure that alert messages reach you be sure to add the following e-mail address for your campus below to your list of safe senders.

What is the IU-Notify phone number I should look for on my caller ID?

What types of messages will I get through IU-Notify?

IU’s emergency notification system will be used to announce and provide guidance in an emergency or critical incident and to communicate relevant updates. Generally, an emergency is any incident that involves death, serious injury, or threat of death or serious injury to people; significant damage to university facilities, property, and or data; or significant disruption of university operations.

Test messages will be sent through IU-Notify at least annually to ensure that the system is working properly.

Can I get alerts for more than one campus?

Currently, the only way to receive alerts for more than one campus is for students to be enrolled in classes at more than one campus. For faculty and staff, you must have additional campus affiliations as part of your record in the HR system.

Additional functionality within OneStart’s self service is being considered to allow students, faculty, and staff to add additional campuses to their record. Stay tuned to the Event Notification page in OneStart for more details.

In the future, it will be possible to select more than one campus.

Will I receive an “all clear” message notifying me that the emergency has passed?

As of now, the “all clear” messages will appear on the IU Emergency Preparedness site found at http://www.indianauniversity.info/.
